External access to staff contact details

Preamble

This policy relates to the provision of Monash staff contact details (email address or internal telephone number) to entities outside Monash University via a search facility. At present, the Monash University home page http://www.monash.edu.au does not provide any way for an external (non-Monash) user to search the Monash directory for the contact details of a Monash staff member. Instead, they are provided with a page, which will attempt to find a possible Monash user and send them an email message (without revealing the email address for this user). This is a significantly reduced service relative to all other Australian universities and makes it harder for Monash staff to be contacted. This in turn reflects negatively on Monash as a whole.

Purpose

This policy will remove these restrictions and enable non-Monash users to search for contact details (email address or telephone number) for Monash staff and see the results of that search.

Policy

  1. The Monash University home page will provide a mechanism to search for staff email addresses and internal telephone numbers and see the results of that search.
  2. This facility will be accessible from the standard footer provided as part of the new site design.
  3. Staff may request that alternative contact details be displayed via the Monash University home page.

Procedures

  1. Staff who elect to have alternative contact details (email address or telephone number) displayed via the Monash University home page will need to inform Web and Internet Facilities section within Information Technology Services, via email to
    directory-mgr@its.monash.edu.au, of this requirement and provide appropriate details. This information will be recorded and the search facility will honour this request when searching for contact details.

Notes

  1. Other search engines outside the control of Information Technology Services, such as those provided by Faculties or Departments, may not necessarily honour the alternate email address property.
