Crisis Management Procedures

Crisis Management Policy

The Audit Committee of Council has put in place the following arrangements in relation to crisis management.  The Vice-President (Administration) will assume overall responsibility for crisis management planning and recovery across the University.

Please note: At the Strategy and Resources Committee meeting 08/2009 (item 10.6), it was approved to relocate the Crisis Management Policy and Procedures from the Audit and Risk section of the Policy bank to the Facilities and Services section. 

1. Crisis Management Teams

1.1       Crisis Management and Recovery (CMR) Teams will be established at all Monash University campuses.

1.2       Members of CMR Teams will be trained in all aspects of crisis management.

1.3       Crisis Management Plans will be developed and documented in CMR manuals for each University campus.

1.4       CMR teams on each campus will meet, at least annually, to identify current threats and to review the adequacy and currency of their crisis plans.

1.5       Crisis Management Plans will be tested regularly with full-scale crisis simulation exercises held on each campus, at least, every 2 years.

2. Communication

2.1       A general global e-mail will be issued every 6 months advising University staff on crisis management.

2.2       A crisis management web-site will be established and regularly updated to provide information on matters relating to crisis management and the key contact numbers on each campus.

2.3       The activities of the various campus CMR Teams will be coordinated and reviewed by the Crisis Team Coordinator.

3. Crisis Management & Recovery Manual

The information contained in the Crisis Management and Recovery Manual  for each campus will be regularly maintained and updated.

4. Review

An annual review of crisis management procedures outlined above will be conducted and a report made to the University’s Audit Committee of Council as to the adequacy and currency of Crisis Management Plans at each campus.

Specific roles and responsibilities before, during and after a Crisis

The specific roles of the:

  • Vice-Chancellor’s Office;
  • Corporate CMR Team Leader;
  • Crisis Team Coordinator;
  • Team Leaders;
  • CMR Teams;
  • Public Spokesperson;
  • Support Group Coordinator;
  • Human Resources Coordinator;
  • Health & Wellbeing Co-ordinator;
  • Business Recovery Coordinator;
  • Emergency Services Coordinator;
  • IT/Control Room Coordinator;
  • Media/Internal Communications Coordinator; and
  • Switchboard/Call Centre Coordinator;

before, during and following a crisis event are detailed in Sections 5,6 and 7 of the Crisis Management and Recovery Manuals.
