Student Evaluation Policy

Definition of terms

Unit Offering Option (UOO): a seven digit number that uniquely identifies a unit offering at a specific location for a specific semester in a specific mode.

Preparing the survey

  1. CHEQ prepares and publishes on the Unit Evaluation website in February each year an annual schedule for preparation, administration and reporting of results of Unit Evaluation surveys.

  2. Each faculty reviews their faculty-specific questions and notifies the Centre for Higher Education Quality (CHEQ) of any amendments at least two weeks prior to the commencement of semester.

  3. CHEQ sends file to each faculty for selection of the UOO’s to be evaluated along with the method of evaluation (paper or online) by week two of the relevant semester. Each faculty returns the updated file to CHEQ by the due date.

  4. CHEQ prepares survey templates and publishes those to be administered as paper-based on the website. Each faculty is notified that the templates are available.

  5. CHEQ updates database reference tables to reflect relevant semester details, sets the survey period dates on all online templates and arranges with ITS for the required scheduled tasks to be initiated.

Administering the survey

  1. Each faculty prepares a survey administration timetable, prints the required amount of each survey and ensures that appropriate staff are available to administer the surveys.

  2. CHEQ administers online surveys.

  3. For paper-based surveys, each faculty administers their surveys and returns completed surveys to CHEQ for processing prior to deadline.

  4. CHEQ sends out regular emails during the survey period to any student with an outstanding online survey. Each faculty communicates with their students to encourage completion of online surveys.

  5. CHEQ processes returned paper-surveys and each week during the survey period sends out a response rate report to each faculty.

  6. Each faculty reviews response rate report and notifies CHEQ of any anomalies.

Reporting the survey results

  1. CHEQ publishes quantitative analysis reports on website within four weeks of the end of the survey period and notifies all staff and students that the reports are available.

  2. CHEQ sends data files and summary files to each faculty and campus quality area. Subsequently CHEQ sends qualitative reports for unit, campus and mode to each faculty and campus quality area.

Analysing the survey and reporting improvements

  1. Each faculty reviews the published reports and data files and prepares an action plan to address areas for improvement for faculty-wide issues.

  2. The department/school prepares an action plan to address areas for improvement where unit issues are identified.

  3. Each faculty reports progress against their action plan to CHEQ who will record details in the database.
