Result Upload & Amendment Procedures

Please note that these procedures will be replaced by the Assessment in Coursework Programs Policy and the Unit Assessment Procedures as of 15 February 2010.  Details can be found in Current Policy Projects.

Teaching departments must ensure they upload results into the student database by the advertised deadline. It is important that results are input by deadline so that Board of Examiners (BOE) meetings can proceed as scheduled.

Processing of Late Results i.e. after deadline

  1. Teaching departments can upload results into the student database until the time of their Faculty BOE meeting, irrespective of the Course Owner.  However, where a result belongs to another course owner, the course owning faculty must be informed and a copy of the result provided to them for reference at their BOE meeting.
  2. Following the BOE meeting, results can still be recorded in the student database via the upload process (as long as a Withheld result or any other result has not been previously recorded).  However, the upload or amendment or results must only be  performed by the Course Owning Faculty and a "Post BOE Result Amendment " form (rtf 117kb) detailing the reason for the late or amended result completed and retained for audit purposes.

Scope

This procedure applies to assessments conducted for coursework units and degrees.

Definitions

Use of Withheld (WH) Grade - a "WH" Grade should only be recorded where a result has been withheld for a valid reason.  A "WH" result should not be used in cases where the result is simply late and has not been processed.  In this instance the result should be left blank.
